How Does Hardware Procurement Work?

Framework IT offers three procurement options: (1) purchase through us with pre-configuration, warranty management, and deployment services included; (2) purchase yourself through preferred vendors with vCIO consultation; or (3) Hardware as a Service (HaaS) or facilitated leasing. We recommend consulting your vCIO early to ensure hardware meets specifications and aligns with your technology roadmap.

Hardware Procurement Options:

Option 1: Purchase Hardware Through Framework IT (Recommended)

Framework IT procures hardware from reputable distributors and resells it with a fair markup that reflects value-added services:

Services Included:

  • Pre-Configuration: OS installation, RMM/security software deployment, domain configuration, branding, and policy application
  • Warranty Management: Device registration, single point of contact for claims, manufacturer coordination, and issue resolution
  • Deployment Services: System imaging, software installation, onsite setup for complex equipment, and user training
  • Vendor Relationship Management: Priority support, favorable terms, order tracking, and shipment issue resolution

Benefits: Turnkey deployment, single point of accountability, faster warranty resolution, reduced administrative burden, quality assurance, and predictable timelines.

Markup Policy: We apply a fair markup reflecting our services but don't disclose the specific percentage. Your vCIO provides detailed quotes, and we encourage comparing total cost of ownership (including services) against self-purchasing.

Preferred Vendors:

  • Networking: Meraki, SonicWall, Ubiquiti
  • Computers/Servers: Dell (preferred for warranty programs), HP, Lenovo, Microsoft Surface
  • We remain flexible to accommodate your needs and existing vendor relationships

Option 2: Purchase Hardware Yourself

You may purchase hardware through your preferred vendors (CDW, Dell Direct, Amazon Business, etc.). We strongly encourage vCIO consultation for:

  • Specification development and compatibility verification
  • Quote review and value assessment
  • Procurement coordination and warranty recommendations

Important Limitations:

  • Warranty: Framework IT cannot manage warranty claims as seamlessly; you may need to contact manufacturers directly (we'll assist with troubleshooting and coordination where possible)
  • Delivery Control: Limited ability to guarantee timelines or resolve vendor issues
  • Configuration: Equipment arrives unconfigured; post-arrival setup may extend deployment timelines

This option makes sense if you have:

  • Established vendor relationships with significant discounts
  • Mandatory procurement policies or preferred vendor programs
  • Specialized equipment only available through specific suppliers

Option 3: Hardware as a Service (HaaS) & Leasing

Direct HaaS: Available for certain equipment types; provides predictable monthly fees instead of capital expenditures. Your vCIO can discuss availability for your needs.

Facilitated Leasing: We help coordinate third-party leasing arrangements to align with your accounting preferences or existing vendor relationships.

Benefits: Predictable costs, easier budget planning (OpEx vs. CapEx), simplified refresh cycles, potential tax advantages, and cash flow preservation.

Technology Budgeting & Lifecycle Planning

Your vCIO uses Lifecycle Insights to proactively identify equipment nearing end-of-life based on OS supportability, hardware performance, service ticket history, and warranty status. During Strategic Business Reviews, your vCIO provides:

  • Annual technology budget forecasts with detailed cost estimates
  • Phased replacement schedules aligned with your budget
  • Strategic procurement planning (volume purchasing, timing, multi-location coordination)
